QUALIFICATIONS:

  1. High school diploma/GED equivalent, some college preferred or administrative office experience.
  2. Minimum of five (5) years experience as an administrative secretary, with a minimum of three (3) years in public education setting preferred.
  3. Excellent verbal and written communication skills.
  4. Strong organizational and time-management abilities, detail-oriented, and the ability to prioritize multiple tasks effectively.
  5. Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), calendar management tools, project management software, and other office productivity and technology tools (efinance, eSchoolPlus, Applicant Tracking System, and Laserfiche).
  6. Proven ability to maintain confidentiality and handle sensitive information with discretion.
  7. Experience managing complex schedules, overseeing projects, and facilitating high-level communications.
  8. Ability to work independently and as part of a team, demonstrating initiative in resolving issues and improving processes.
  9. Strong interpersonal skills, with the ability to build collaborative working relationships across departments and campuses.

SALARY/PAYGRADE:

$52,215/CP-9

Salary Range (based on experience) as set by the Board of Trustees for the 2024-2025 school year.

 

ESSENTIAL FUNCTIONS:

  1. Provide comprehensive administrative support, including calendar management, scheduling, and meeting coordination.
  2. Demonstrate a general understanding of Human Resources and Student Services policies, procedures, and best practices.  
  3. Draft, edit, and prepare correspondence, reports, and presentations for Texas Education Agencies, Campus leaders, and Board members.
  4. Utilize advanced Excel skills daily to manage and analyze reports, including formulas, pivot tables, VLOOKUP, charts, and data visualization tools.
  5. Monitor and reconcile budgets for Human resources and Student Services.
  6. Coordinate and manage high-priority projects, such as preparing for school board meetings, reconciling campus staffing allocations, and managing discipline data.  
  7. Process public information requests in a timely and accurate manner.
  8. Prepare and maintain daily vacancy, attendance, and discipline reports.
  9. Assist in planning and executing district-wide and department events for Human Resources and Student Services.
  10. Maintain confidential employee and student records.
  11. Collaborate with HR and Student Services department to address employee and student needs such as  as I9 processes, employee service records, student enrollment.
  12. Handle sensitive information with discretion and uphold a high standard of confidentiality.
  13. Monitor office supplies, budget allocations, and department expenses.
  14. Perform other duties as assigned by the Associate Superintendent.
