QUALIFICATIONS: 

  1. High school diploma / GED equivalent, some college preferred or administrative office experience.
  2. Minimum of five (5) years of experience as an administrative secretary, with a minimum of three (3) in public education setting preferred.
  3. Excellent English verbal and written communication skills (some Spanish preferred).
  4. Strong organizational and time-management abilities, detail-oriented, and the ability to prioritize multiple tasks effectively.
  5. Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Google Apps), calendar management tools, and other office productivity and technology tools (eFinance, eSchoolPlus, Applicant Tracking System)
  6. Proven ability to maintain confidentiality and handle sensitive information with discretion.
  7. Experience managing complex schedules, overseeing projects.
  8. Ability to work independently and as part of a team, demonstrating initiative in resolving issues and improving processes.
  9. Strong interpersonal skills, with the ability to build collaborative working relationships across departments and campuses.

SALARY/PAYGRADE:

$48,395/CP-8

Salary Range (based on experience) as set by the Board of Trustees for the school year 2024-2025

 

ESSENTIAL FUNCTIONS:

  1. Prepare correspondence, forms, manuals, reports, and presentations.
  2. Maintain physical and electronic department files and records.
  3. Perform routine bookkeeping tasks and maintain department budget records.
  4. Compile pertinent data as needed when preparing reports.
  5. Answer and respond to incoming calls, take reliable messages, and route to appropriate staff.
  6. Greet visitors and assist employees.
  7. Make meeting arrangements for department activities including preparing materials, scheduling, and setting up facilities, and arranging equipment including technology.
  8. Maintain a schedule of appointments for the administrator assigned and make travel arrangements.
  9. Maintain calendar and department activities, staff and Assistant Superintendent’s schedule.
  10. Compile, monitor and process personnel time and payroll records.
  11. Perform other duties as assigned by Assistant Superintendent.
